This policy explains how Wedding Painter Nina ("I", "me") collects and uses your personal information when you visit weddingpainternina.co.uk, enquire about my services or book me. Wedding Painter Nina is run by Nina, a sole trader based in Manchester, UK. I am the data controller for your information.

What information I collect

  • Enquiries: your name, email address, phone number, wedding or event date, venue and location, approximate number of guests, the service you're interested in, how you found me, and anything you write in your message.
  • Bookings: the details above, plus your postal address for delivering your painting, payment records, and details you share about your day during our consultation (for example, who you'd like included in the painting).
  • Photographs: reference photos I take on the day or that you send me, so I can paint the scene accurately.
  • Website use: if you accept analytics cookies, Google Analytics collects information about how you use this site, such as pages viewed, approximate location, device type and how you arrived. See "Cookies" below.

How and why I use it

  • To reply to your enquiry and send a quote. Lawful basis: taking steps at your request before entering into a contract.
  • To plan, paint, deliver and invoice your commission. Lawful basis: performance of a contract.
  • To keep financial records. Lawful basis: legal obligation (tax law).
  • To understand how visitors use my website and improve it. Lawful basis: your consent to analytics cookies.

I do not sell your information, and I don't send marketing emails unless you have asked to hear from me.

Who I share it with

Only with the services I need to run my business:

  • Squarespace, which hosts this website and its enquiry form
  • Google, for email (Gmail) and, if you accept cookies, Google Analytics
  • Delivery companies such as Parcelforce, to post your painting
  • My bank and payment providers, to process payments
  • My accountant or HMRC, where required by law

Some of these providers are based outside the UK, for example in the United States. Where that happens, your information is protected by safeguards recognised under UK law, such as the UK–US data bridge or the UK International Data Transfer Agreement.

How long I keep it

  • Enquiries that don't become a booking: up to 12 months, then deleted.
  • Booking and payment records: 6 years after the end of the tax year they relate to, as HMRC requires.
  • Reference photos: until your painting has been delivered and any follow-up is complete, then deleted, unless you have agreed I can keep them for my portfolio.

Cookies

This site uses essential cookies so it works properly. With your permission, it also uses Google Analytics cookies to measure visits. When you first visit, a banner lets you accept all, decline all or choose which cookies to allow. You can change your choice at any time using the cookie preferences button on the site. Declining won't affect how the site works.

Your rights

Under UK data protection law, you can ask me to:

  • give you a copy of the information I hold about you
  • correct anything that's wrong
  • delete your information
  • restrict or object to how I use it
  • send your information to you or someone else in a portable format
  • withdraw your consent at any time, where I rely on consent

Complaints

If you're unhappy with how I've handled your information, please contact me first so I can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

I may update this policy from time to time. The latest version will always be on this page.
